Dial Before You Dig Automated Response System (DBYD ARS) brings efficiency and control to the very important task of protecting your underground assets. Enquiries from the DBYD call centre are received via email. These emails contain a GML Object file that is processed against the DBYD ARS Database. The system automatically receives and processes the file, creates a map and written response in PDF format and then automatically generates a response ready to be sent directly to the enquirer via email, fax or letter. This response clearly outlines if their operations will encroach on your asset and what action needs to be taken if any. The response is then archived for future reference. The complete process requires little or no human intervention however response emails can be directed to an internal email address for review prior to being forwarded on to the enquirer if necessary.

Response Template

DBYD ARS populates a preconfigured PDF template with an overview map and strip mapping using your existing spatial data files. The ‘affected’ area is highlighted on these maps to illustrate to the enquirer their exact location in relation to your assets. The template notifies the enquirer as to whether they are encroaching on an asset and also what action needs to be taken if any.

Activity Codes

DBYD ARS has the unique ability to recognise the activity code being supplied by the enquirer and adjusts the affected buffer size accordingly. For example, you may wish to handle activity code 53 – blasting, with an affected buffer size of 100 metres. Alternatively, activity code 23 – planning and design, may be setup with an affected buffer size of 50 metres. This flexibility allows you to reduce the amount of follow up work that is generated by affected responses.

Asset Types

DBYD ARS is also able to adjust to the type of asset that is being affected. For example, different pipe types can be handled differently to reflect their unique attributes allowing you to further customise the system to suit your requirements. Once again, this functionality reduces the amount of time spent managing affected responses.

Reporting and Archiving

Reporting can be set up to send an email to a given email address (or multiple emails) as often as required, at a given time on a given day. This report contains the details of the request along with the details of the response sent out and the location of all files associated with the request.

Archiving can also be set up to run automatically. When the data is archived three operations occur:

a. The DBYD request forms and GML objects will be moved from the Processed folder to the Archived Folder.
b. The generated files (pdfs, rtfs etc) will be moved from the Output folder to the Archived folder.
c. The Requests form and Point/Line/PolygonRequests shape files will be stripped back and the data from these archived. If required these shape files can then be added back into X-Info DataServer as a separate layer.

X-Info DataServer

As part of the DBYD ARS setup, users are given access to DataServer. This allows users to view ‘all’ responses in a map window to get a visual understanding of where activity is occurring along their assets. From this view, users are able to search for particular attributes, view individual responses, export a response to Google for viewing and more importantly share all of the relevant information with other staff members.

DBYD Request Search

Users can search for a single DBYD enquiry across all DBYD layers (points, lines or polygons). A large range of searchable fields relating to the DBYD enquiry are available. The display of query results is exclusive to the selected enquiry/s enabling results to be displayed with clarity when numerous DBYD enquiries exist in the same location. The highlighting of results in maintained until other results are selected or the results window is closed.

Enhanced Reporting

DBYD reporting is available for all DBYD Requests. A range of advanced reports are available to users enabling DBYD information to be reviewed and managed to the benefit of your business.

DBYD Request Enhanced Mapping

Users can customise the display of DBYD requests with the ability to show all the requests in the map as points. For line and polygon requests, the point is shown at the centroid.

Thematics can be applied to the requests to theme requests with common attributes, for example affected and not affected.

Heatmaps

Maps of DBYD requests can also be produced as Heatmaps. This mode calculates the point clustering coefficient for each pixel in the map, then false colours each point using the intensity of each point.  Blue represents cold. Orange is medium, and white is hot.
